MailGrid ("MailGrid", "we", "us") operates a multi-tenant email infrastructure platform that lets organisations provision domains, mailboxes, and branded email services. This policy explains what we collect, why, and the choices you have.
Information we collect
- Account data: name, work email, organisation, and authentication credentials.
- Infrastructure data: the domains, DNS records, mailboxes, and SES/SMTP configuration you create.
- Message metadata: sender, recipients, timestamps, delivery status, and threading headers needed to operate mailboxes and deliverability reporting.
- Usage and diagnostics: logs, IP addresses, and device information used for security and reliability.
How we use information
We use data to provision and operate your email infrastructure, deliver and receive mail, authenticate senders (SPF, DKIM, DMARC), protect against abuse, provide support, and meet legal obligations.
Data sharing
We share data only with sub-processors that power the service (for example, transactional email delivery and cloud storage), under contract, and never sell personal data.
Tenant isolation
Each tenant's domains, mailboxes, contacts, and messages are logically isolated. Platform staff access tenant data only for support or security, and only with authorisation.
Retention
Operational data is retained for as long as your account is active. Deleted messages follow a 30-day trash lifecycle before permanent removal. You may request deletion of your account data subject to legal retention requirements.
Your rights
